Summary

Japan Ski Experience provides a booking platform through which you may reserve accommodation and optional resort services in Japan. We act solely as a booking agent. All services are provided by independent third-party suppliers, with a separate contract formed between you and each relevant supplier.

For convenience, we may collect payment for multiple services within a single transaction; however, each remains separate and is subject to the applicable supplier’s terms and conditions, including cancellation and liability provisions. Each service is priced individually by the relevant supplier.

 

1. Introduction

These Booking Conditions, together with our Privacy Policy, the booking details and itemised Services accepted by you at the time of booking, the applicable Supplier’s terms and conditions, and the written Confirmation issued on behalf of the Supplier, govern all bookings made through Japan Ski Experience Limited, a company registered in England and Wales (Company No. 08015157) with registered office at Manor Farm Barn, Blackford, Yeovil, BA22 7EE, United Kingdom (“Japan Ski Experience”, “we”, “us”, “our”).

Personal data is processed in accordance with our Privacy Policy, which forms part of these Booking Conditions.

Please read these Booking Conditions carefully as they set out your rights and obligations and those of the independent suppliers providing travel and related services.

References to “you” and “your” mean all persons named on a booking, including anyone added or substituted at a later date.

Only the information expressly set out in the booking summary accepted at the time of booking and in the Confirmation forms part of the contract. Preliminary quotations, informal correspondence and general marketing materials do not form part of the contract unless expressly incorporated into the booking summary or Confirmation.

 

2. Definitions

For the purposes of these Booking Conditions:

  • “Supplier” means the independent third-party provider responsible for delivering a Service, including accommodation providers, transport companies, activity operators, equipment rental providers, ski schools, guides, and other local service providers.
  • “Service” means any individual travel or leisure service made available for booking through Japan Ski Experience, including accommodation and optional resort services.
  • “Booking” means a reservation made for a specific Service supplied by a Supplier under a separate contract between you and that Supplier.
  • “Resort Services” means optional Services such as transfers, lift passes, equipment rental, lessons, guiding, excursions, and activities which may be booked independently of accommodation.
  • “Confirmation” means written confirmation issued on behalf of a Supplier indicating that a contract has been formed between you and that Supplier.
  • “Agent” means Japan Ski Experience acting solely as an intermediary arranging bookings between you and Suppliers. Japan Ski Experience does not organise or sell package holidays or combined travel products.

References to multiple Services within a single customer account or paid within a single payment transaction are for administrative convenience only and do not constitute a single transaction or combined pricing of travel services.

 

3. Our Role as Agent

Japan Ski Experience Limited is a company incorporated in England and Wales and acts solely as a travel agent arranging bookings on behalf of independent third-party suppliers (“Suppliers”).

When you make a booking through Japan Ski Experience, we arrange for you to enter into a direct contract with the relevant Supplier providing the accommodation or other Service. Each Service constitutes a separate contract between you and the applicable Supplier and is subject to that Supplier’s own terms and conditions.

Japan Ski Experience does not provide, organise or operate the Services themselves and does not act as a tour operator or package organiser. Responsibility for the delivery, performance and operation of each Service rests with the relevant Supplier.

All bookings are arranged and accepted by Japan Ski Experience Limited acting in its capacity as Agent on behalf of the relevant Supplier. A contract for a Service is formed when booking confirmation is issued by Japan Ski Experience Limited on the Supplier’s behalf, at which point the booking is accepted by Japan Ski Experience Limited acting as Agent in the United Kingdom.

Japan Ski Experience does not offer or sell international transport services and is not involved in your travel arrangements to or from Japan, which are made independently. Your travel to Japan is separate from any services booked through our platform, and we make no representations regarding your point of origin or travel requirements.

 

4. Separate Transactions

Each service booked through our platform constitutes a separate transaction and a separate contract with an independent Supplier. Any Resort Services requested or confirmed after accommodation are independent bookings and do not form part of a combined product. To ensure this separation:

  • Break of Visit: A period of more than 24 hours is applied as part of our booking process. Any Service requested or confirmed after the initial confirmation of your accommodation constitutes a separate visit and a new, independent transaction. Each such booking requires a separate customer action and results in a separate contract with the relevant Supplier. Services are not offered, priced, or sold as a combined product and are not presented as components of a single transaction. No Service is pre-selected or automatically generated based on any prior booking.
  • Administrative Convenience: For customer convenience, Japan Ski Experience allows for the aggregation of payments for multiple independently booked Services within a single transaction (e.g., a final balance payment). This collection is an administrative convenience only and represents the aggregation of separate debts owed to different Suppliers. It does not convert separate contracts into a single combined travel product. Japan Ski Experience does not determine or apply a single combined price for multiple Services.
  • Aggregated Payment Choice: You maintain the explicit right to request separate payment links or individual invoices for each Service if you prefer to settle your accounts with each Supplier independently. Choosing an aggregated payment does not alter the separate nature of each contract or the individual Supplier’s cancellation and liability provisions. The method of payment does not affect the separate nature of each booking or contract.
  • Itemization: All Services will be itemized individually on your Trip Account and invoices, noting the specific Supplier and their unique booking reference.

 

5. Law, Jurisdiction and Contract Formation

Japan Ski Experience Limited is a company incorporated in England and Wales and operates as a travel agent from and within the United Kingdom. All bookings made through our website or with our representatives are arranged and accepted by Japan Ski Experience Limited acting as agent on behalf of the relevant Suppliers.

  • Place of Contract Formation: Booking confirmations are issued from the United Kingdom. Acceptance occurs at the moment our UK-based servers issue the confirmation. By making a booking, you expressly agree that you have proactively sought out Japan Ski Experience, a UK-based agent, and acknowledge that you are interacting with a UK point of sale.
  • Governing Law and Jurisdiction: These Conditions are governed by the laws of England and Wales. You agree that the protections afforded by the UK regulatory framework apply to the exclusion of others, to the extent permitted by law.

 

6. Payment Processing

Payments relating to bookings are processed by Flywire acting as payment processor on behalf of Japan Ski Experience Limited. Flywire provides payment processing services only and is not a party to the contract between you and the relevant Supplier.

 

7. Booking Process and Contract Formation

A contract between you and the relevant Supplier is formed when Confirmation is issued by Japan Ski Experience Limited on the Supplier’s behalf in accordance with Clause 5. Our services consist of the provision of accommodation and leisure activities on specific dates. Under UK and EU consumer law, such date-specific travel and leisure services are exempt from statutory cooling-off/cancellation periods. Your right to cancel is governed solely by the relevant Supplier’s terms.

The lead passenger confirms that they:

  1. have authority to accept these Booking Conditions on behalf of all travellers;
  2. accept financial responsibility for all payments due;
  3. are at least 18 years of age; and
  4. have read and accepted the applicable Supplier terms and conditions.

You must check all Confirmations carefully and notify us immediately of any errors or discrepancies.

You agree that electronic communications, booking confirmations and records shall constitute binding contractual communications. A contract formed electronically shall have the same validity and enforceability as a contract concluded in writing.

 

8. Supplier Terms and Conditions

Each Service is provided by an independent Supplier and is subject to that Supplier’s own terms and conditions, including cancellation, amendment, and operational policies. By confirming a Booking, you acknowledge that the relevant Supplier’s terms apply and you agree to be bound by them. Japan Ski Experience acts solely as a booking agent and does not set or control these third-party terms.

 

9. Independent Resort Services and Logistical Coordination

All Resort Services (transfers, lift passes, lessons, etc.) are optional and may be booked independently of accommodation.

  • Standalone Status: Any Resort Services booked subsequent to the confirmation of your accommodation are Independent Bookings. Each is a standalone contract with a specific third-party Supplier. They are not “add-ons” to the accommodation contract, but separate travel services arranged by us as a Booking Agent.
  • Fixed Delivery Point: For the purpose of service delivery (e.g. lift pass drop-off or transfer coordination), your accommodation name may be provided to the relevant Supplier as a delivery location. This is done solely for operational purposes and does not involve the sale, combination, or bundling of travel services.
  • Non-Transfer of Credentials: To maintain the independence of each contract, Japan Ski Experience does not transfer your payment credentials between Suppliers to enable automated bookings.

 

10. Refunds and Statutory Redress

In the event of a service cancellation by a Supplier, Japan Ski Experience will exercise its statutory Right of Redress to recover your funds. Under UK regulations (including the 2026 amendments), Suppliers are required to return such payments to us within 14 days. As your Agent, we will facilitate this recovery and aim to process your refund immediately upon receipt of funds from the Supplier. Our liability is limited to the successful recovery of such payments from the third-party Supplier.

 

11. Insolvency Clarification

All bookings are made as separate transactions with independent Suppliers and do not fall within the scope of statutory financial protection applicable to package holidays.

Japan Ski Experience does not provide insolvency protection for these bookings. In the unlikely event of our insolvency or that of a Supplier, payments made may not be protected and may not be recoverable.

We strongly recommend that all customers obtain comprehensive travel insurance, including cover for ‘Scheduled Airline Failure’ and ‘End Supplier Failure’, to protect against the insolvency of any party involved in your trip.

 

12. Prices and Accuracy

We endeavour to ensure that pricing, availability and booking information displayed on our website is accurate. However, obvious or manifest errors (including typographical, system or data transmission errors) may occasionally occur.

An obvious or manifest error is a clear and recognisable mistake which a reasonable person would identify as incorrect, including (without limitation) significant pricing discrepancies or incorrect availability resulting from technical malfunction.

In the event of an obvious or manifest error, Japan Ski Experience reserves the right to correct the error. Where such error materially affects a Booking, we may, acting reasonably, cancel or amend the affected Service. In such circumstances, any sums paid in respect of the affected Service will be refunded in full and no further liability shall arise.

A contract shall not be considered validly formed where it arises solely as a result of an obvious or manifest error.

 

13. Accommodation Information and Facility Changes

Accommodation descriptions, facilities, images, amenities and other property information are provided by the relevant accommodation Supplier and are displayed by Japan Ski Experience in good faith. We exercise reasonable care and skill in transmitting such information but do not independently verify all details.

While we take reasonable steps to ensure accuracy, minor inaccuracies, omissions or typographical errors may occasionally occur. Such minor errors, where not material to the overall accommodation booked, shall not constitute a breach of contract and shall not give rise to any right of cancellation, refund or compensation from Japan Ski Experience.

The accommodation Supplier may modify, withdraw or restrict facilities, services or amenities (including, for example, spas/onsen, restaurants, ski rooms, shuttle services, pools, gym facilities, parking, Wi-Fi availability or housekeeping arrangements) for operational, maintenance, seasonal or other reasons.

Where a change or error materially affects the accommodation booked, we will notify you as soon as reasonably possible and assist communication with the Supplier regarding any remedies available under the Supplier’s terms and conditions.

 

14. Payment

Payment terms will be advised at booking.

Where deposits are accepted, the balance must be paid by the due date. Failure to pay may result in cancellation by the Supplier and applicable cancellation charges.

Funds received are collected by Japan Ski Experience Limited in the United Kingdom, acting as agent on behalf of the relevant Supplier and allocated to each Supplier separately.

Bank charges, exchange differences, or transfer shortfalls remain your responsibility.

If any payment is reversed, declined, refunded or subject to chargeback after Confirmation, we reserve the right to cancel the affected Service and recover any costs or losses incurred as a result.

 

15. Changes and Cancellations by You

All amendment or cancellation requests must be submitted in writing to [email protected].

Changes and cancellations are subject to the Supplier’s terms and conditions, which may include charges up to 100% of the Service cost.

Japan Ski Experience may charge reasonable administration fees to cover processing costs. These will be advised at the time of amendment or cancellation.

 

16. Changes or Cancellation by Suppliers

Suppliers may occasionally amend or cancel Services. We will notify you as soon as reasonably possible and assist communication between you and the Supplier.

Any refunds, alternatives, or compensation are determined by the Supplier’s terms and conditions.

 

17. Insurance

Adequate travel insurance is strongly recommended for all travellers and should include (where relevant) cancellation cover, medical expenses, winter sports activities, personal liability and equipment cover.

Neither Japan Ski Experience nor Suppliers are responsible for losses that would normally be covered by insurance, except where liability cannot legally be excluded.

 

18. Special Requests

Special requests will be passed to Suppliers but cannot be guaranteed. Confirmation that a request has been noted does not constitute acceptance by the Supplier.

 

19. Medical Conditions and Fitness to Travel

You must inform us before booking of any medical condition or disability that may affect Services. Suppliers may refuse or cancel Bookings where requirements cannot reasonably be accommodated.

 

20. Complaints

Any issue must be reported immediately to the Supplier providing the Service to allow resolution during travel.

If unresolved, you may contact us within 28 days of return and we will assist by liaising with the Supplier.

 

21. Our Liability

Japan Ski Experience Limited acts solely as Agent in arranging Services between you and independent Suppliers. Our responsibility is limited to exercising reasonable care and skill in arranging those Services in accordance with your instructions.

We are not responsible for the performance, quality, safety, suitability or delivery of Services provided by Suppliers. Responsibility for each Service rests with the relevant Supplier under its own terms and conditions.

We shall not be liable for any indirect, consequential or incidental loss, including loss of enjoyment, loss of opportunity or additional travel expenses, except where such limitation is not permitted by law.

Where we are found legally liable in respect of our role as Agent, our maximum liability shall not exceed the commission earned by us in relation to the affected Service.

Nothing in these Booking Conditions excludes or limits liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any liability which cannot lawfully be excluded.

Any claim relating to our role as Agent must be notified to us in writing within 28 days of the end of the relevant Service.

 

22. Force Majeure

Japan Ski Experience acts solely as Agent and does not control or operate the Services provided by Suppliers. We are not responsible for the cancellation, modification, disruption or non-performance of any Service by a Supplier.

We shall not be liable for any failure or delay in performing our obligations as Agent where such failure or delay results from events beyond our reasonable control, including but not limited to severe weather, heavy snowfall, lack of snow, avalanche risk, volcanic activity, earthquakes, flooding, governmental restrictions, transport disruption, industrial disputes, utility failure or other extraordinary circumstances.

Such events may result in resort closures, lift closures, restricted access, reduced facilities or transport interruption and do not constitute a breach of contract by Japan Ski Experience.

 

23. Travel Requirements

You are responsible for ensuring compliance with all passport, visa, health and entry requirements. Requirements may change and must be checked with relevant authorities prior to travel. We accept no responsibility for losses arising from failure to comply with such requirements.

 

24. Accommodation Standards and Information

Ratings and descriptions are provided by Suppliers and may vary between destinations. We cannot guarantee their accuracy. Customer reviews reflect individual opinions and are not verified representations by Japan Ski Experience.

 

25. Behaviour

Suppliers may terminate Services without refund where behaviour causes danger, damage or disruption. You are responsible for any loss or damage caused by members of your party.

 

26. Winter Sports and Activity Risks

Winter sports and mountain activities involve inherent risks including injury or death. Participation is undertaken at your own risk under the responsibility of the activity Supplier. Japan Ski Experience accepts no liability for accidents occurring during Services operated by Suppliers.

 

27. Personal Property

You are responsible for safeguarding personal belongings at all times.

 

28. Vehicle Hire and Driving

You must hold appropriate licences and permits required by local law. For foreigners driving in Japan, this usually requires an International Driving Permit. Driving conditions in winter may be hazardous and you accept responsibility for compliance with local regulations.

 

29. Snow and Weather Conditions

Snow and weather conditions cannot be guaranteed. Resort closures or weather disruption do not constitute grounds for refund unless provided for within Supplier terms.

 

30. Best Price Guarantee

Any price guarantees apply only to identical Services offered by the same Supplier at the time of booking and in the same currency.

 

31. Severability

If any provision of these Booking Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
